Predictive vs Progressive vs Preview Dialer: How to Choose

A plain comparison of predictive, progressive and preview dialer modes, the trade-offs between them, and how to choose the right one for each campaign.

Choosing a dialing mode is one of the few call center decisions that changes results the same day. Every call center dialer removes manual dialling, but a predictive dialer, a progressive dialer and a preview dialer each trade agent talk time, customer experience and preparation time differently. The useful question is not which mode is best, but which mode suits each campaign.

Predictive dialer: maximum talk time

A predictive dialer places more calls than there are free agents. A pacing algorithm estimates how many calls will be answered and when agents are likely to finish their current conversations, then dials ahead so that an answered call is ready as soon as an agent becomes free.

When the estimate is right, agents move from one live conversation to the next with very little waiting. When it is wrong, a customer answers and no agent is available. That call is either abandoned or the customer hears silence before someone speaks. Both damage trust.

Predictive dialing works best when:

  • The team is large enough for the pacing estimates to be stable
  • The list is long and contact rates are low
  • Calls are short, similar in length and need little preparation

Progressive dialer: one call per ready agent

A progressive dialer dials one number for each agent, and only when that agent is ready. The agent is already on the line when the customer answers, so there is no silent gap and no abandoned call caused by overdialling.

The term power dialer is used loosely in the market. It usually describes this same style: automatic, back-to-back dialling for an agent without any prediction.

The cost of progressive dialing is waiting time. Agents sit through ringing and unanswered attempts, so talk time is lower than in a well-tuned predictive campaign.

Preview dialer: preparation first

A preview dialer shows the customer record to the agent before the call is placed. The agent reads the history, checks the last conversation or the outstanding amount, and then starts the call, or the system dials after a set preview period.

This is the slowest mode, with the best-prepared conversations. It suits calls where a wrong opening line costs more than a few idle seconds.

Trade-offs at a glance

Mode Agent talk time Risk of abandoned or silent calls Preparation before the call
Predictive Highest Present, must be monitored Minimal
Progressive (power) Moderate Very low Brief, as the call connects
Preview Lowest Very low Full review of the record

How to choose a mode for each campaign

Ask three questions about the campaign:

  1. How much does the agent need to know before saying hello?
  2. How costly is a silent or dropped call with this particular customer?
  3. How many agents will be logged in at the same time?

Then match the answers to a mode:

  • High-volume cold outreach or lead qualification: predictive, with abandoned calls watched closely.
  • Early-stage payment reminders and simple surveys: progressive, or predictive if the team is large.
  • Renewals and cross-sell to existing customers: progressive, because a silent call to a paying customer is expensive.
  • Late-stage collections, disputes and high-value sales: preview, so the agent knows the account before speaking.
  • Scheduled callbacks: preview, since the customer expects the agent to remember the earlier conversation.
  • Small teams or short lists: progressive. Predictive pacing has too little data to work with.

Most operations run two or three modes side by side. Review connect rate, abandoned calls and talk time by campaign, and step down from predictive to progressive when fewer agents are logged in.

Frequently asked questions

Is a power dialer the same as a progressive dialer?

In most usage, yes. Both describe automatic back-to-back dialling for a ready agent without predictive pacing, though some vendors use power dialer for a variant that dials several lines per agent.

Can a small team use a predictive dialer?

It can, but the benefit is limited. Pacing estimates are less reliable with only a few agents, which raises the chance of abandoned calls, so progressive mode is usually the safer choice.

Which dialer mode is best for collections?

It depends on the stage. Simple reminders on fresh accounts suit predictive or progressive dialing, while older or disputed accounts are better handled in preview mode.
