Solution

Automated appointment reminder calls

Clinics, service centres, salons and field service teams all lose time to appointments people forgot. Reception staff try to ring round the next day's list between other duties, reach only some of it, and have no reliable record of who confirmed. Text messages are easy to overlook, and a missed slot usually cannot be filled at short notice.

NetLumen covers reminder calls at three levels. BlastX sends a recorded or text-to-speech reminder to the whole list and captures keypad replies. VoiceAI holds a spoken conversation when someone wants to reschedule. DialX places calls for staff when a person needs to speak to the customer.

01

Recorded reminders for the whole list

BlastX uses Bulk Voice Broadcasting to call everyone on the appointment list with a recorded message or one generated by Text-to-Speech. Scheduled Campaigns set when the calls go out, Retry Logic tries again when a call is not answered, and DNC Scrubbing removes numbers that should not be called.

02

Letting people confirm or cancel

DTMF Response Capture in BlastX records the key a person presses, so the reminder can ask them to confirm or cancel from the keypad. Delivery Reports show which calls were answered and what was pressed, giving the front desk a list of confirmed, cancelled and unreached appointments.

03

When a reminder becomes a conversation

VoiceAI uses Intent Recognition and Dynamic Call Flows to handle a caller who wants a different slot, in Kannada, Hindi or English, with Fallback to Live Agent when the request is beyond the bot. For calls staff should make themselves, the DialX Auto-Dialer places them and Agent Scripting guides the wording.

FAQ

Common questions

How do automated appointment reminder calls work?

You supply a list of people and appointment details, and the system calls each number and plays a recorded or text-to-speech message. BlastX can schedule the campaign, retry unanswered calls and report on delivery.

Can people confirm or cancel during the reminder call?

Yes. BlastX captures keypad presses through DTMF Response Capture, so a person can press one key to confirm and another to cancel. For spoken replies, VoiceAI recognises what the caller intends.

Can reminder calls be made in Kannada or Hindi?

VoiceAI supports Kannada, Hindi and English conversations. BlastX plays whatever recording you provide, so a recorded reminder can be in the language your customers prefer.

What if someone wants to speak to a person?

VoiceAI includes Fallback to Live Agent, which hands the call to your staff. Teams that prefer agent-made reminder calls can use the DialX Auto-Dialer with an on-screen script.
