WhatsApp Marketing: A Guide to Broadcast Campaigns

How WhatsApp broadcast campaigns work on the Business API: approved templates, opt-in, campaign planning, common mistakes to avoid and what to measure.

WhatsApp can be one of the most direct marketing channels available to an Indian business, and one of the easiest to misuse. A WhatsApp broadcast on the Business API follows rules that make it very different from blasting promotions to a purchased list. Those rules decide whether a campaign sells or gets your number blocked.

How WhatsApp broadcast works on the API

The free WhatsApp Business app has a simple broadcast list feature, but it only reaches people who have saved your number and is not built for volume. Serious campaigns run on the WhatsApp Business API, usually through WhatsApp marketing software supplied by a provider.

On the API, three things govern every campaign.

Approved templates

A message your business starts must use a template that Meta has approved in advance. Templates fall into categories, including marketing, utility and authentication. A template can carry variables such as the customer's name, media and buttons.

Opt-in

Customers must agree to receive messages from your business on WhatsApp. Having someone's phone number is not consent.

Quality and limits

WhatsApp monitors how recipients react. When people block or report a business, its quality rating falls, which can restrict how many people it may message. Good behaviour allows sending limits to grow over time.

Why unofficial bulk WhatsApp messaging is a bad idea

Tools that promise bulk WhatsApp messaging from an ordinary number, without templates or opt-in, operate outside WhatsApp's terms. Numbers used this way risk being banned, and with the number goes every customer conversation attached to it.

Unsolicited promotions on a personal messaging app also damage how customers see your brand.

Building an opt-in list

Collect consent at natural points in the customer relationship:

  • A tick box at checkout or on a lead form
  • A click-to-WhatsApp advertisement or website chat button
  • A QR code in store, on packaging or on invoices
  • A request inside an existing WhatsApp conversation

Tell people what they are signing up for, whether that is offers, order updates or both. Record how each person opted in, and never buy lists.

How to plan a WhatsApp marketing campaign

  1. Set one goal. A repeat purchase, a webinar registration, a renewal. One campaign, one outcome.
  2. Segment the audience. Group contacts by purchase history, location, interest or stage in the sales pipeline.
  3. Write the template. Lead with the value, keep it short, personalise where it is meaningful and end with a single clear call to action.
  4. Submit for approval early. Templates can be rejected or re-categorised, so leave time to revise before the campaign date.
  5. Choose the timing. Send when your customers are likely to read and act,, not late at night.
  6. Prepare for replies. A good campaign generates conversations. Have agents or a chatbot ready to respond straight away.
  7. Test first. Send to an internal group and check links and variables on real phones.

Common mistakes to avoid

  • Sending too often. Every unnecessary message increases the chance of a block.
  • Treating WhatsApp like email. Long copy with several offers does not work here.
  • No way to opt out. Make it easy to stop receiving messages. People who cannot unsubscribe will block you instead.
  • Ignoring replies. An unanswered reply is a lost sale.
  • Broken personalisation. A blank or wrong name is worse than none.
  • Not tracking outcomes. Without tracked links or coupon codes you cannot tell what the campaign earned.

What to measure

  • Delivered: how many messages reached a handset.
  • Read: an indication of interest, though customers who switch off read receipts will not show up.
  • Clicks and replies: the real signs of engagement.
  • Conversions: purchases, bookings or sign-ups traced back to the campaign.
  • Opt-outs and blocks: the earliest warning that frequency or relevance is off.

Compare campaigns against your own earlier ones rather than generic benchmarks.

Frequently asked questions

Is bulk WhatsApp messaging legal and allowed?

Sending at volume is allowed on the WhatsApp Business API when you use approved templates and message only customers who have opted in. Unofficial bulk tools breach WhatsApp's terms and put your number at risk.

Why was my WhatsApp template rejected?

Common reasons include unclear wording, formatting errors in variables, and content that breaks WhatsApp's policies. Revise and resubmit.

Can customers reply to a WhatsApp broadcast?

Yes. Each recipient gets the message as an individual chat, and replies come back to your business privately, so make sure someone is ready to answer.
